Most American small businesses are not overpaying for one expensive product. They are paying eleven small subscriptions that each looked reasonable on the day they were signed, and nobody has re-read the list since. One honest caveat before the list: cutting costs only takes you so far, and a business needs incoming money more than it needs a cheaper toolchain. If you pay contractors, you file information returns, and there is a free federal portal for it. The IRS built the Information Returns Intake System precisely for this, and its existence is stated in the Instructions for Forms 1099-MISC and 1099-NEC. This matters more than it used to, because the filing obligation now catches very small businesses. Treasury Decision 9972, published 23 February 2023, lowered the electronic filing threshold to 10 information returns, calculated by aggregating all information returns, for returns required to be filed on or after 1 January 2024.
The deadlines are the part a free portal will not chase you about, so put them in a calendar the day you set the account up. The IRS instructions state that section 6071(c) requires Form 1099-NEC to be filed on or before 31 January, on paper or electronically, while Form 1099-MISC is due 28 February on paper and 31 March electronically. There is no federal sales tax and no VAT in the United States. Rates are set by each state, usually topped up by counties and cities, and several states levy none at all.
